Accident Registry

DOT requires that you maintain an accident register for all DOT recordable accidents. With this program, we will ensure that you always remain compliant, avoiding unnecessary fines.

Driver Qualification File Maintenance and Archival

Driver qualification (DQ) files are one of the first things subpoenaed by plaintiff attorneys after a commercial motor vehicle crash. Deficiencies in these files can demonstrate negligent hiring and/or retention of the driver by the motor carrier – both of which can increase the risk of gross negligence findings.

Our team can audit each required document for compliance, identify deficiencies, and provide 30/60/90-day notifications of upcoming document expirations. In addition, we can also perform the required, labor-intensive three-year pre-employment verifications and Drug & Alcohol Clearinghouse checks on each driver applicant.

DOT also requires that DQ Files be maintained for three years after a driver leaves your employment. We can archive these records for you, making them available in the event of an audit or litigation.

Hours of Service

Whether your drivers are using an electronic logging device (ELD), paper logs, or time records, the accuracy of these records is paramount as they are all key focus areas in DOT audits and litigation.

Our team can monitor your ELD system for unidentified driving records and perform the required edits to ensure compliance. We can also electronically retain paper records, purging them after the required six-month retention period has passed.

Motor Vehicle Record Monitoring

In addition to running the required motor vehicle record (MVR) at the time of hire and annually thereafter, our program offers continued monitoring of driver MVRs with immediate notification of any recorded conviction or suspension.

While drivers are required to notify the motor carrier of any infractions, ultimately, it is the carrier’s responsibility to be aware of a driver’s record. Our program provides that assurance to you and is endorsed by most insurance companies.

Pre-Employment Screening Program (PSP) Background Checks

The Pre-Employement Screening Program (PSP) is offered by the FMCSA to assist carriers in hiring qualified drivers. It provides visibility to a driver’s CSA infractions for the previous three years.

Our team can submit the request and provide the results for each of your driver applicants, giving you extra confidence in your hiring decisions.

CSA Monitoring

In 2010, the FMCSA introduced CSA 2010, a program to monitor the safety and compliance performance of every motor carrier in the nation. There are seven categories, or BASICS, that are monitored. A company that exceeds the threshold established by the FMCSA for a BASIC can be targeted for an audit. Consistent monitoring of this data is critical.

Our team can pull your organization’s data directly from the FMCSA website each month and review it for accuracy. A monthly report can be provided to you listing new infractions and personalized recommendations on how to correct declining trends.

FMCSA Drug and Alcohol Testing

We can enroll your drivers in our consortium, provide the required chain-of-custody forms, random selections, and report any positive tests to the Drug & Alcohol Clearinghouse.

Mock DOT Audit

Portal Administration

Our team can file your MCS-150 as required, ensuring your organization meets FMCSA requirements and your DOT number remains in good standing.
